Friends of Monze needs to comply with the new General Data Protection Regulations (GDPR)- this means all Friends of Monze supporters giving written consent (can be via email) to the storage of their names and email addresses.

The data we collect about Friends of Monze members:-

We store names and email addresses of current Friends of Monze supporters in a spreadsheet. It is updated when we receive notice of any new consent or withdrawn consent. We use a third-party system for newsletter circulations; this system is secure and no third party is permitted to access or use your data.

Why we hold this information and what we will do with it.

We hold this information in-order to keep people who are interested in Friends of Monze, including those who have donated in the past, informed about our activities and relevant events.

Who is responsible for ensuring this happens?

Under data protection legislation, we are required to designate a 'Data Controller'. This is the Director of Friends of Monze, Deana Owen. 

Do you store any other information?

As you would expect, we store records of donations to ensure proper standards of accounting. We also hold signed Gift Aid forms from donors to allow us to claim Gift Aid on eligible donations. We are legally bound to do these things.

The safety of your data.

We take the safety of your data very seriously

We take adequate measures to ensure that your data is held securely and that no unauthorised person can access data. The spreadsheet is password protected and stored locally on a secure laptop. The spreadsheet and Gmail account are primarily used by the Friends of Monze Director.

Only the Trustees of Friends of Monze and the Gift Aid Administrator are permitted to access your data. We also keep secure backup files to allow us to recover from any loss or corruption of the data.

An individual supporter’s privacy is maintained by blind copying (bcc) supporters email addresses in any messages sent to several supporters.

We will never disclose, share or sell your data without your consent, unless required to do so by law.

Your rights

You have a right to see the information held about you.

You have a right to instruct us to change your details.

You have the right to withdraw your consent to us holding and using your data for such communications at any time. Your details will be removed from the list of supporters and any historic emails we hold on you deleted from the Friends of Monze email account.

Should you wish to exercise any of the above rights, please email the Friends of Monze Director at deana.owen@friendsofmonze.org with your request. Please allow up to 28 days for a reply.
